LSUMail: Accessing a Delegated Folder

The information in this article can be used for staff members who need to know how to access departmental email accounts that have been delegated to them. 

Adding another person's mailbox to your profile:

If you frequently refer to another Exchange folder, you can add the exchange mailbox to your own profile. This will automatically open the other mailbox each time you open Outlook. Note: the person who is sharing the mailbox must have already granted you the Folder visible permission. 

As the manager, complete the following steps:

1. Right click the root folder of the Exchange mailbox, and click Folder Permissions.

2. Click the name of the delegate.

3. Under Permissions within the Other section, select the Folder visible check box.

4. Click OK.

 

As the delegate, complete the following steps: 

1. Click File > Account Settings > Account Settings.

2. On the Email tab in the list, click the Exchange account type, click Change, and then click More Settings.

3. On the Advanced tab, under Open these additional mailboxes, click Add, and then enter the mailbox name of the person whose mailbox that you want to add to your user profile. If you do not know the mailbox name, ask the person who granted you Delegate Access permissions.

 

Opening another person's folders: 

 

In Outlook Application:

1. Click File > Open & Export > Other User's Folder.

2. In the Name box, enter the name of the person who granted you Sharing or Delegate Access permissions, or click Name to select from a list.

3. In the Folder type list, click the folder that you want to open.

In Outlook on the Web:

1. Right click on the Folders group in the left sidebar.

2. Select Add shared folder.

3. Type in the email address of the shared account you have been given access to, then click Add.

4. You should now be able to see the account as an additional folder in your sidebar. If desired, you may right click it and select Add to Favorites to display it at the top of your sidebar.
